Responsibilities

  • Draft, evaluate, and negotiate outgoing sub-agreements in compliance with institutional and sponsor requirements.
  • Stay current with federal, state, and sponsor regulations governing sponsored research and subaward compliance.
  • Conduct thorough reviews of SUBSystem Required Items, offering expert guidance and enforcing adherence to internal and external policies.
  • Evaluate sponsored project awards for flow-down clauses and active compliance assurances to inform subaward terms.
  • Manage task priorities using transparent status tracking and ensure timely submission of subawards for final approval.
  • Oversee the SUBSystem template library, institutional data, and internal procedural documentation.
  • Deliver expert consultation and training to research staff and faculty on research administration standards.
  • Design and lead instructor-based training sessions on subaward processes and system use.
  • Create and update content for a detailed SUBS user reference guide.
  • Develop instructional materials for workshops, presentations, and demonstrations; present as required.
  • Deliver on-demand training sessions based on operational needs.
  • Approve and sign outgoing subawards in SUBSystem as authorized by leadership.
  • Support ongoing updates to training and reference tools for subaward management education.
  • Train new and current research administration staff within the office.
  • Assess existing workflows to identify opportunities for improved efficiency and effectiveness.
  • Lead special initiatives focused on process optimization and documentation improvements.
  • Engage in discussions and planning related to Workday grant system integration and support.
  • Evaluate system capabilities to suggest configuration changes and functional enhancements.
  • Validate and test system updates across development, testing, and production environments.
  • Communicate system changes, fixes, and issues clearly to users, including visual aids when needed, and respond to inquiries.
  • Collaborate with internal teams, IT, and research administrators on project tasks, issue tracking, and resolution.
  • Record and report testing outcomes to IT stakeholders.
  • Oversee FFATA reporting using SUBSystem-generated reports and the fsrs.gov platform.
  • Support reporting for Small Business Subcontracting Plans as required.
  • Contribute to monthly performance metrics, including volume and turnaround time, and prepare weekly workload summaries for team oversight.

  • Prepare, review and negotiate outgoing sub-agreements.
  • Maintain up-to-date knowledge of the regulatory and legal framework and vast compliance rules affecting sponsored research agreements.
  • Provide detail-oriented review of SUBSystem Required Items while providing expert guidance and enforcing compliance with University, School and external agency policies related to outgoing subawards.
  • Analyze sponsored research awards received from external funding agencies for required flow down terms, and active assurances (animals, humans, conflict of interest, etc.) to prepare appropriate outgoing subaward agreements.
  • Manage workload using status transparency for prioritization. Ensure accurate and timely submission of all subawards to OSRS Signing Official for approval.
  • Administer and Manage the SUBSystem template portfolio of attachments, institutional database and internal Process documents.
  • Provide expert advice and training to University research administrators and faculty on research administration processes and policies.
  • Develop and conduct training and user support via instructor-led training.
  • Provide updates and content for a comprehensive SUBS user guide.
  • Prepare learning material for presentations, classes and demos. Serve as presenter as needed.
  • Conduct ad hoc classes as needed.
  • Sign and approve outgoing subawards in SUBSystem as delegated by the manager.
  • Assist with updates to training and reference materials for on-going outgoing subaward education for OSRS and the WashU research administration community.
  • Train new and existing OSRS staff.
  • Review and analyze current processes to ensure efficiency within OSRS and the university.
  • Spearhead special projects being a team leader (streamlining, efficiency of processes, documents).
  • Participate in Workday grant support meetings, discussions and processes.
  • Analyze functionality to recommend configurations and enhancements.
  • Determine, verify and test configurations and enhancements in 3 environments: Development, Test, and Production.
  • Share notifications with user community regarding fixes, configurations, enhancements, and system issues. Ensure notifications are clear and concise and provide screenshots as appropriate. Answer questions that may arise.
  • Participate with OSRS, IT, and research administration community regarding work items. Track and prioritize the issues. Determine if and when issues can be closed.
  • Document testing results and report to IT.
  • Manage FFATA reporting using SUBSystem FFATA reports and fsrs.gov.
  • Assist with Small Business Subcontracting Plans (SBSP) reporting.
  • Assist with reporting of monthly volume and turn-around time reporting, preparing weekly status report of SUBS’ team workload to facilitate prioritization and necessary follow up of workload for sub-agreements.
