About the Role

The New Patient Coordinator ensures a smooth and supportive experience for individuals beginning care by managing intake logistics, answering questions, and connecting patients with the appropriate resources ahead of their first visit.

Responsibilities

  • Guide new patients through onboarding procedures
  • Verify and collect required documentation prior to appointments
  • Respond to inquiries via phone and email in a timely manner
  • Schedule initial and follow-up appointments
  • Maintain up-to-date patient records
  • Confirm insurance eligibility and coverage details
  • Provide clear instructions for pre-visit preparations
  • Coordinate with clinical staff to ensure smooth transitions
  • Track patient progress through the intake pipeline
  • Address patient concerns with empathy and professionalism
  • Update internal systems with patient status changes
  • Follow up with patients who miss communications
  • Ensure compliance with privacy and data protection standards
  • Assist in refining onboarding workflows based on feedback
  • Prepare welcome materials for distribution
  • Support team efforts during high-volume periods
  • Report weekly on key intake metrics
  • Participate in training for new tools and protocols
  • Escalate complex cases to designated team members
  • Maintain consistent communication standards across channels

Nice to Have

  • Associate degree in health sciences or related field
  • Two or more years in patient services
