Responsibilities
- Lead major business initiatives from idea through execution, ensuring timely delivery and adherence to budget constraints.
- Design and maintain comprehensive project plans in collaboration with family office leaders.
- Facilitate communication and alignment among internal and external stakeholders.
- Supervise technology development teams and contribute feedback on user interface and experience designs, including storyboards and Figma prototypes.
- Attend critical team meetings, document discussions, and distribute summaries with actionable insights.
- Collaborate with legal advisors on compliance, contracts, and regulatory matters.
- Maintain up-to-date business plans, investor and client presentations, financial models, and CRM records for prospective partners.
- Serve as the main coordination hub for family members, legal representatives, and other parties based in Milan, Italy.
- Identify, evaluate, and manage relationships with professional service providers in Italy, such as accountants, attorneys, architects, and construction contractors.
- Perform quantitative assessments and data analysis to support decision-making.
- Act as the primary contact for external partners involved in new ventures, such as a Guatemalan rum project, ensuring shared objectives and clear communication.
- Spearhead the creation of a formalized family office structure to improve governance and operations.
- Develop and manage a centralized database of professional contacts across legal, financial, and operational fields in the US, Italy, and Guatemala.
- Manage confidential personal matters, including coordination with legal counsel on prenuptial agreements.
- Recruit, onboard, and supervise part-time virtual assistants, operations staff, and specialized contractors as needed.
- Assign tasks clearly and ensure accountability across team members for timely and quality outcomes.
- Create and enforce standardized operating procedures and systems to enhance efficiency across all departments.
- Oversee support operations for existing hospitality businesses, including restaurants and catering, by managing vendors and maintenance schedules.
- Develop and refine operational playbooks and models for business growth and replication.
- Ensure systems are in place to manage customer inquiries and coordinate catering logistics effectively.
- Administer payments to international contractors and suppliers.
- Monitor and report expenses across multiple business entities and personal accounts, such as Aegle and Fiduciary.
- Work closely with bookkeepers and accountants to ensure accurate financial reporting.
- Manage administrative and compliance activities related to construction and property operations, including insurance, permits, and licensing.
