Responsibilities
- Manage the onboarding schedule for assigned virtual assistants from match confirmation to Day 1 readiness.
- Attend internal and client-facing meetings to gather essential onboarding details such as project scope, goals, and tools.
- Serve as the main coordination hub between Sales, Customer Success, Talent Acquisition, Training, and Operations teams.
- Collaborate with Sales and Customer Success to document and schedule client-specific context, including business objectives and success metrics.
- Work with Talent Acquisition to verify virtual assistant readiness, completed documentation, and alignment on start dates and working hours.
- Liaise with the Training team to confirm completion of required programs and ensure training outcomes are shared with Operations.
- Coordinate with Operations to distribute client background materials and onboarding details prior to the start date.
- Maintain a detailed onboarding tracker with defined milestones, responsible parties, deadlines, and progress updates.
- Verify completion of essential onboarding inputs such as client profiles, scope summaries, tool access needs, and SOP links.
- Identify missing items, follow up with responsible parties, and ensure timely resolution of outstanding tasks.
- Distribute calendar invitations, agendas, and reminders for key meetings; confirm attendance and preparedness.
- Deliver regular status reports to the Workforce Manager and other stakeholders on onboarding progress.
- Proactively highlight potential risks such as incomplete client information, scheduling conflicts, or training delays.
- Suggest enhancements to onboarding workflows, templates, checklists, and meeting schedules.
- Monitor and analyze process bottlenecks, such as delayed handoffs, and recommend corrective actions.
Benefits
- Monthly salary of PhP 30,000, subject to merit-based increases following annual performance reviews.
