Responsibilities
- Oversee the entire contract-to-close process for a high-volume real estate investment operation
- Manage 40–60 active deals simultaneously across various U.S. states and title companies
- Facilitate an average of approximately 7 closings monthly, with volume ranging from 5–12
- Verify the accuracy of executed contracts, including pricing, dates, parties, inspection periods, and assignment terms
- Initiate title orders and maintain ongoing communication with multiple title companies
- Verify assignment eligibility and the ability to issue separate settlement statements
- Act as the main point of contact for sellers post-contract
- Conduct seller introduction calls on the same day as contract signing, or the next business day if signed after hours
- Provide weekly updates to sellers for wholesale deals
- Provide bi-weekly updates to sellers for novations
- Respond to seller calls, texts, and emails on the same business day during weekdays
- Respond to seller calls, texts, and emails within 24 hours on weekends and holidays
- Track all transaction deadlines, inspections, title items, and closing timelines
- Proactively follow up on title commitments, lien resolution, and state-specific requirements
- Coordinate inspections, walkthroughs, runners, photos, and videos across different markets
- Ensure completion of photos and videos within 4 days of contract signing
- Maintain precise records in CRM, Slack, Asana, and internal tracking systems
- Review settlement statements and manage closing logistics from clear-to-close with minimal supervision
