Ensemble Performing Arts was looking for a Staff Accountant

Role Overview

A national educational music organization is looking for a Staff Accountant to oversee accounts receivable, billing, and month-end accounting processes. This is a full-time remote position with a preference for candidates located on the East Coast. You will play a central role in maintaining financial accuracy and supporting timely collections while collaborating with operations, sales, and customer service teams.

Key Responsibilities

  • Generate and distribute customer invoices accurately and on schedule, maintaining billing cycles and recurring charges as needed.
  • Process daily customer payments across multiple methods—checks, ACH, wires, and credit cards—and apply them correctly in the system.
  • Reconcile incoming cash receipts with bank activity and ensure proper allocation to invoices, deposits, or account balances.
  • Investigate unapplied or misapplied payments and resolve discrepancies promptly.
  • Monitor accounts receivable aging reports and follow up with retail customers on overdue balances.
  • Support collection efforts related to rental fleet agreements in coordination with relevant teams.
  • Respond to customer inquiries about invoices, account status, and payment history.
  • Resolve billing disputes by collaborating with sales, operations, and customer service.
  • Reconcile accounts receivable subledger to the general ledger monthly.
  • Prepare and post adjusting journal entries at month-end, including bad debt provisions, write-offs, and revenue accruals.
  • Review open credits, unapplied cash, and unresolved balances to ensure data integrity.
  • Analyze monthly aging reports and report key metrics to management.
  • Evaluate deferred revenue balances and ensure revenue is recognized in line with accounting standards and company policy.
  • Assist with month-end close tasks and provide documentation during audits.
  • Record vendor prepayments accurately in NetSuite and maintain supporting allocation schedules.
  • Enter amortization entries for prepaid expenses and reconcile prepaid balance sheet accounts monthly.
  • Support the sales team by setting up new customer accounts, reviewing credit applications, and recommending credit limits.
  • Maintain up-to-date tax exemption certificates and ensure proper filing.
  • Help develop and refine accounts receivable policies and standard operating procedures.
  • Identify process improvements to increase efficiency and accuracy in AR workflows.
  • Ensure compliance with internal controls and support audit readiness.
  • Participate in system upgrades and automation projects, particularly within NetSuite.

Qualifications

Applicants must have at least one year of hands-on experience using NetSuite as their primary ERP system. Proficiency in NetSuite and advanced Excel skills—including VLOOKUP, pivot tables, and data analysis—are essential. You should have a solid understanding of accounts receivable, general ledger reconciliation, and cash application processes. Strong attention to detail, organizational ability, and the capacity to work independently in a fast-paced environment are required.

A degree in Accounting, Finance, or a related field is preferred but not mandatory.
