Responsibilities
- Develop comprehensive dashboards to measure firm-wide performance metrics such as ROI, revenue, profit margins, and intake conversion rates.
- Create, document, and roll out standardized operating procedures for key processes including client intake, billing, and communication protocols.
- Design performance tracking systems with defined KPIs, regular reporting cycles, and accountability mechanisms to support leadership decision-making.
- Enhance integration between core platforms—including Lawmatics, Docketwise, QuickBooks, and LawPay—to streamline data flow and reduce manual tasks.
- Leverage artificial intelligence and automation tools like Claude and Zapier to reduce repetitive work and improve operational consistency.
- Implement a 24/7 client intake system to reduce missed contacts and improve response time adherence.
- Lead change initiatives by delivering early operational improvements and training staff on new tools and workflows.
- Enforce data integrity standards to ensure reliable, real-time information for strategic planning.
- Oversee operational timelines, KPIs, and project milestones, escalating issues and resource constraints to leadership when necessary.
Requirements
- Demonstrated experience in operations management within small to mid-sized organizations; legal industry experience is a strong advantage.
- Direct experience managing CRM platforms and designing business processes, ideally with Lawmatics.
- Proficiency in using AI applications and automation tools such as Zapier to improve efficiency.
- Ability to build and maintain performance dashboards for ongoing operational insight.
- Proven project management skills with a focus on execution and follow-through in fast-paced environments.
- Exceptional communication skills, with a focus on clarity, expectation setting, and accountability.

- Bachelor's degree is required; additional credentials are beneficial.

- Standard work hours are 8:30 AM to 5:30 PM with a one-hour lunch break.
- Initial onboarding will occur in Houston for approximately two weeks.
- Work begins remotely during the Dallas-Fort Worth office launch, transitioning to primarily onsite once operational.
- Occasional travel to Houston, approximately every few months, may be required.
