Responsibilities
- Provide comprehensive administrative assistance, including phone coverage, customer interaction, document preparation, data input, and scheduling logistics
- Manage sensitive company data such as corporate credit accounts, employee directories, client lists, and personnel records with strict confidentiality
- Maintain accurate logs and tracking systems for all administrative tasks and assignments
- Verify that work orders are complete and properly documented before initiating tasks
- Evaluate incoming work requests thoroughly and ensure accurate execution from start to finish
- Communicate proactively with team members, supervisors, and client representatives regarding task progress or time-sensitive issues
- Consistently meet established deadlines for receiving, processing, and delivering assignments
- Resolve basic technical issues with office equipment as needed
- Support the creation of training materials and process documentation for administrative workflows
- Conduct training sessions for administrative staff to ensure consistent practices
- Act as a go-to resource and mentor for less experienced team members
- Engage with clients through various communication methods, including in-person, phone, video conferencing, and email
- Organize and prioritize tasks to maintain efficient workflow under deadlines
- Conduct quality reviews on personal work and peer submissions to ensure accuracy and compliance
- Handle incoming calls, emails, and service coordination as required
- Follow all organizational and client-specific policies and procedures
- Use office equipment and supplies responsibly to minimize waste and control costs
