Responsibilities
- Provide administrative assistance such as answering calls, delivering customer support, transcribing and editing documents, entering data for expenses, time, and invoices, and arranging meetings, travel, accommodations, and technical needs.
- Manage sensitive company data, including corporate credit details, procurement cards, employee and client contact lists, and personnel records.
- Use logging systems or tracking tools to record all administrative tasks and activities.
- Verify that work orders are fully completed before starting assigned tasks.
- Evaluate work requests thoroughly and ensure accurate execution from start to finish.
- Communicate with team members, supervisors, or client representatives regarding task progress or scheduling concerns.
- Meet all agreed-upon deadlines for receiving, finishing, and submitting assignments.
- Resolve minor technical issues with office equipment.
- Help design training materials and process documentation for administrative workflows.
- Deliver training content to administrative staff members.
- Act as a knowledgeable resource and mentor for less experienced team members.
- Engage with clients through in-person meetings, phone calls, video conferences, or digital communication.
- Organize and prioritize tasks based on urgency and workload demands.
- Conduct quality reviews on personal work and the work of peers.
- Respond to phone calls and emails, and coordinate service requests as necessary.
- Follow internal company guidelines and client-specific policies at all times.
- Operate office equipment and manage supplies efficiently to minimize waste and cost.

Work schedule: Monday through Friday, 3:00 PM to 12:00 AM.
