Responsibilities
- Organize team workflow by assigning tasks and setting job priorities.
- Support team members with complex or high-volume assignments, including large-scale requests and heavy administrative demands.
- Maintain excellent client service while fostering positive, long-term customer relationships.
- Promptly report operational issues to leadership for resolution.
- Generate and deliver scheduled reports as required.
- Perform job intake tasks according to managerial direction.
- Review and interpret service requests received via email, phone, in person, or forms.
- Liaise with management and clients regarding job status or timeline concerns.
- Lead quality assurance efforts to ensure efficiency and client satisfaction.
- Track task progress to confirm timely, accurate completion within deadlines.
- Evaluate incoming work to assign appropriate equipment or resources.
- Ensure consistent compliance with standard operating procedures.
- Train new staff on company policies and operational protocols.
- Refill copiers with paper and toner as necessary.
- Keep accurate logs and maintain all required documentation.
- Perform additional tasks as assigned, such as preparing conference rooms with A/V equipment or furniture, managing mail, coordinating food services, assisting at reception, handling phone systems, and welcoming visitors.
- Regularly lift up to 50 pounds as part of job duties.
- Follow all company and client site policies and guidelines.
- Use office equipment and supplies efficiently to minimize waste.
- Provide enhanced front-desk support with a professional presence when interacting with guests and executives.
- Accompany visitors to their destinations within the office.
- Assist the reception and hospitality teams, along with office and production services, as needed.
- Oversee office catering orders and related logistics.
