Responsibilities
- Manage deadlines, analyze information, and handle confidential data, particularly in response to sensitive information requests.
- Arrange meetings, manage business and personal calendars, book domestic and international travel, and oversee expense and time reporting, along with case documentation.
- Handle intricate calendar management, prepare travel itineraries, and process time and expense submissions.
- Provide backup support to the Administrative Team Lead and other administrative and office services staff.
- Anticipate operational needs, prioritize tasks, resolve scheduling conflicts, and proactively adjust schedules as needed.
- Draft and revise correspondence, invoices, engagement letters, and presentation materials.
- Manage urgent and confidential client communications, applying sound judgment in responding to time-sensitive issues and tracking open requests.
- Plan and execute events, including selecting venues, budgeting, and managing RSVPs.
- Coordinate effectively with internal teams and external stakeholders.
- Juggle multiple priorities by assessing risk, urgency, importance, and organizational impact.
- Quickly understand new topics, foresee challenges, and resolve issues proactively.
- Support timely email and request management.
- Plan and oversee technical and logistical support for internal and external events to ensure smooth execution.
- Occasional travel is required to support event delivery.
- Assist with office operations such as restocking kitchen supplies, preparing and cleaning conference rooms, and other related tasks.
- Occasionally arrive early to receive deliveries and prepare for events.
- Perform additional duties as assigned.
Requirements
- High School diploma or equivalent is required.
- Minimum of four years of experience in administrative support roles.
- Proven track record of owning and driving results within defined workflows, including setting priorities and delivering outcomes.
- Ability to exercise judgment and offer practical guidance to stakeholders.
- Capable of influencing colleagues across teams, functions, and seniority levels, including senior leadership.
- Exceptional organizational skills with experience in fast-paced, ambiguous environments, managing competing demands with discretion.
- Skilled at turning analysis into clear, actionable insights and recommendations.
- Strong written and verbal communication skills in English, with the ability to produce executive-level messaging.
- Demonstrated commitment to collaboration, inclusion, and professionalism in building effective working relationships.
- Maintains composure and executive presence under pressure in a dynamic environment.
- Discreet in handling confidential and sensitive information.
- Advanced proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
- Flexible availability to work overtime and outside standard U.S. business hours as project demands require.
- Ability to work full time in both office and remote settings; physically capable of prolonged computer use.

- Capable of lifting at least 15 pounds.
- Must be able to travel up to 10% of the time.
