WilkinGuttenplan is hiring a Resource Coordinator (Tax) - Fully Remote/Hybrid

Responsibilities

  • Serve as the primary point of contact for scheduling inquiries from tax team members and supervisors, resolving issues directly and escalating to management when necessary.
  • Manage scheduling and resource distribution for the tax department, actively tracking capacity and promptly fulfilling staffing requests.
  • Oversee the allocation of shared workloads during high-demand periods, adjusting staff deployment as needs evolve.
  • Conduct routine check-ins with team members, involving coaching staff when appropriate, including onboarding new hires to confirm schedule clarity and capacity adherence.
  • Track differences between planned and actual billable hours, identifying trends related to skill gaps, cross-training, or staffing needs, and sharing insights with management.
  • Conduct initial assessments of staff capacity against firm-wide billable goals, reporting findings to leadership prior to departmental reviews.
  • Maintain and update the scheduling platform, generating capacity reports to inform staffing and hiring decisions.
  • Support post-project evaluations by connecting appropriate team members and reviewers to ensure consistent feedback.
  • Prepare and share scheduling and capacity updates before internal team meetings to enable informed staffing discussions.
  • Support process improvements and firm-wide initiatives as directed by the Resource & Operations Manager.
