FreedUp was looking for a Remote Executive Assistant - Operations, Data & Project Support

FreedUp is looking for a Remote Executive Assistant – Operations, Data & Project Support to partner closely with our operations leader. This role is central to creating structure, improving operational efficiency, coordinating special projects, and supporting strategic relationship-building.

What You'll Do

  • Build, organize, and maintain the EA workspace in Notion, including task tracking, SOP documentation, weekly review meetings, and meeting agendas/notes.
  • Assist in designing and documenting operational processes used across the business.
  • Compile weekly operational reports sourced from multiple platforms (QuickBooks, Spectrum, Tena, Curb Waste, Dump Truck Dispatcher, HCSS).
  • Prepare consolidated reports in Google Sheets and Notion dashboards.
  • Assist with special projects, including software development efforts with Zaratech, coordinating stakeholder feedback, test cases, and reporting.
  • Track project progress, blockers, and deliverables.
  • Help build a Notion-based CRM system to support external relationship management.
  • Assist with scheduling and follow-through for external relationship-building efforts.
  • Support in achieving quarterly strategic objectives using EOS methodology.
  • Maintain visibility across milestones, deadlines, and progress metrics.
  • Coordinate weekly review meetings and Tuesday status updates.
  • Maintain organized meeting notes, agendas, and recordings in Notion.
  • Assist with scheduling external meetings.

What We're Looking For

  • 3+ years of experience as an Executive Assistant, Project Coordinator, or Operations Assistant.
  • Proven experience with process documentation, system building, or SOP creation.
  • Strong skills in data gathering, report preparation, and project tracking.
  • Experience with Notion or similar knowledge management tools (must be willing to learn quickly).
  • Familiarity with Google Workspace, especially Sheets for reporting.
  • Excellent organizational and prioritization abilities.
  • Outstanding written and verbal communication skills.
  • Ability to operate autonomously and proactively.
  • High comfort in tech-driven environments and learning new platforms.
  • Experience coordinating cross-functional stakeholders.
  • Ability to maintain confidentiality and handle sensitive information.
  • Reliable high-speed internet.
  • Modern laptop with multi-core processor.
  • Noise-canceling headset.
