About the Role
The assistant will help manage client files, prepare filings, and coordinate communication for deferred action cases, ensuring timely and accurate processing within regulatory guidelines.
Responsibilities
- Prepare and organize client documentation for deferred action submissions
- Maintain accurate case records in digital filing systems
- Communicate with clients to collect required information and updates
- Assist attorneys with drafting legal forms and supporting documents
- Track case deadlines and regulatory timelines
- Coordinate mailing of official documents to government agencies
- Verify completeness of application packages before submission
- Respond to client inquiries via phone and email
- Schedule client appointments and legal consultations
- Support team with data entry and document scanning
- Monitor case status updates from USCIS and other agencies
- Maintain confidentiality of all client information
- Attend team meetings to report case progress
- Follow internal procedures for quality assurance
- Assist in translating materials when necessary
- Prepare notarization paperwork for client signatures
- Update clients on processing times and next steps
- Organize evidence files for legal review
- Support outreach efforts to inform communities about eligibility
- Ensure compliance with data privacy standards
- Assist in preparing responses to government requests
- Maintain supply of necessary forms and templates
- Coordinate with external partners on referral cases
- Participate in training on policy changes
- Contribute to process improvements in case management
Nice to Have
- Associate degree or higher in legal studies, social sciences, or related field
- Prior experience in an immigration law office
- Certification in legal assisting or paralegal studies
- Experience using Clio or similar legal software
- Bilingual in English and Spanish
- Familiarity with DACA and related programs
- Volunteer experience with immigrant communities
- Training in trauma-informed client support
