Responsibilities
- Identify and track published procurement opportunities matching the organization's service offerings and inform relevant stakeholders
- Determine required administrative procedures and establish timelines for compliance
- Gather and prepare official documentation, including financial and legal certificates, in collaboration with internal units
- Verify that all proposal materials and supplementary documents meet formal criteria and are internally consistent
- Deliver high-level administrative assistance, including draft review, issue resolution, correspondence control, and data gathering
- Maintain an updated repository of project histories, professional resumes, and certification files
- Manage the processing, verification, and communication related to physical and digital documents required for tender participation
- Compile and format bid submissions in both paper and electronic formats, confirm authorized signatures, and upload to designated portals such as ESIDIS, CosmoOne, and EU Tenders Portal
- Submit finalized proposals and coordinate post-contract documentation for awarded tenders
- Organize and preserve departmental records, files, and archival materials
Responsibilities
- Research, selection and monitoring of published tenders relevant to our services and notifying interested parties
- Identification of administrative requirements and scheduling of the necessary actions
- Collection and preparation of administrative certificates/documentation (e.g. financial and legal documents, etc.) in coordination with internal departments
- Ensure compliance and consistency across all bid documents and collateral, aligned with bid requirements
- Provision of advanced administrative support services (e.g. sampling of proposals, problem solving, review and control of correspondence, information research, etc.)
- Updating a database of project references, CVs and supporting documents
- Processing, review and correspondence regarding all supporting electronic or physical documents required for the public tenders
- Preparing physical and electronic tender documents, ensuring valid signatures and uploading them in the respective platforms (ESIDIS, CosmoOne, EU Tenders Portal etc)
- Submit Proposals and organize all required after sales documents upon contract agreement
- Maintenance of the department’s files, archives and records
