Responsibilities
- Orchestrate full-cycle localization of multi-channel content, including agency oversight, budget approvals, PromoMats submissions, OneCRM distribution, and inventory lifecycle management.
- Collaborate with Finance and Marketing teams to monitor and optimize budget allocation and spending.
- Manage purchase order initiation, invoice resolution, issue escalation, and year-end financial audits.
- Administer patient support and co-payment programs, including system tracking and performance reporting.
- Serve as lead for process optimization projects and Agile methodology adoption.
- Assist in rolling out digital transformation and cross-departmental operational initiatives.
- Coordinate onboarding logistics for new team members, including IT provisioning, SOP documentation, and access setup for SAP and facility systems.
- Ensure timely and accurate completion of administrative onboarding for permanent and contract staff.
- Lead procurement activities, contract administration, and vendor relationship management.
- Support financial compliance through management of purchase orders, charge authorization notices, and budget monitoring.
- Facilitate internal and external audit readiness, maintain SOPs, and coordinate compliance training.
- Oversee logistics for conferences and sponsorships, including exhibit setup and travel support for field and headquarters staff.
- Deliver ongoing administrative assistance to senior leadership within the business unit.
Requirements
- College diploma required, with preference for fields such as Business or Finance.
- Minimum of five years in a fast-moving, results-driven corporate setting.
- Solid understanding of financial processes and hands-on experience with SAP and procurement platforms.
- Demonstrated project management ability with strong organizational and detail-oriented skills.
- Capable of independent initiative and effective collaboration within diverse teams.
- Proactive problem solver with a solutions-focused approach.
- Advanced proficiency in Microsoft Office applications, including Excel, PowerPoint, and Outlook.
- Fluent in English, both written and spoken.
Nice to Have
- Two to three years of experience in project coordination or management roles preferred.
- Background in the pharmaceutical sector is advantageous.
- Familiarity with PAAB, IMC, and ASC regulatory guidelines.
- Knowledge of pre-press and print production workflows is beneficial.
- Experience using Veeva PromoMats, SharePoint, MS Teams, and Zoom is preferred.
- French language proficiency is considered an asset.
