Responsibilities
- Manage complete payroll cycles for all US-based employees and assist with international payroll operations as needed, ensuring precision, timeliness, and compliance with federal, state, and local laws.
- Serve as a backup resource for payroll teams in other countries, including Canada and Australia, to maintain uninterrupted global payroll processing.
- Verify and reconcile employee timekeeping records for both hourly and salaried workers, identifying and correcting discrepancies before payroll execution.
- Oversee payroll tax calculations, tax deposits, benefit withholdings, and payments to third parties, ensuring all are submitted on time and any inconsistencies are resolved promptly.
- Create and post payroll and benefits-related accounting entries; conduct monthly, quarterly, and annual reconciliations to align payroll data with the general ledger.
- Coordinate year-end payroll tasks such as W-2 preparation, reporting of taxable benefits, reconciliation across multiple states, and collaboration with Finance, HR, and external vendors to meet legal deadlines.
- Ensure adherence to regulatory standards by managing payroll tax registrations, updating tax rates, processing wage garnishments, administering leave policies, and applying benefit eligibility rules.
- Provide responsive support to internal teams and external partners by answering payroll and benefits inquiries and generating routine or on-demand reports on payroll, headcount, and compliance metrics.
- Strengthen internal controls through documentation of payroll procedures, proposing process enhancements, and contributing to the testing and rollout of HRIS and payroll system upgrades.
- Assist in internal and external audits by maintaining accurate, complete, and readily available payroll records, reconciliations, and control documentation.
- Enforce strict confidentiality and data protection protocols, ensuring sensitive employee and organizational data is handled in accordance with company policy and legal requirements.
