We are currently recruiting a mid-level Operations Systems Specialist to play a pivotal role in developing our operational capabilities and supporting the implementation of our new Practice Management System.

This role provides an opportunity to collaborate closely with our data analytics team in shaping firmwide data models during a significant transformation while implementing our PMS. By working intimately with the team, you'll rapidly comprehend our historical context and apply industry best practices to optimize matter, billing, and practice information management and reporting.
You will be entrusted to develop effective operational practices, bridging insights from Technology to our Legal Administration Team. You are expected to take a leadership role in developing the day-to-day operational functions.
This is anticipated to encompass:
Operational Oversight:
- Supervise workflow processes to ensure timely legal service delivery.
Financial & Resource Management:
- Support budgeting, expense tracking, and cost optimization initiatives.
- Collaborate with finance teams on billing cycles and matter profitability analysis.
Compliance & Risk Management:
- Ensure adherence to regulatory requirements and internal policies.
- Maintain data security and confidentiality standards across operations.
Technology & Systems:
- Collaborate with IT and practice management teams to optimize legal technology platforms.
- Drive system adoption and ensure comprehensive staff training.
Key Responsibilities:
- Identify and enhance data processing consistency in existing data infrastructure
- Support data strategy and implementation workstream for PMS deployment
- Apply industry best practices for managing legal practice data
- Collaborate with data visualization specialists to ensure data integrity and reporting accessibility
- Develop data governance frameworks appropriate for legal environments
- Construct documentation and processes supporting future team expansion
- Contribute to strategic planning for operations and systems roadmap
Essential Requirements:
- Practical experience in data systems and operational processes
- Expertise with legal technology platforms and practice management systems
- Previous involvement in system implementations within SMEs
- Understanding of law firm operational dynamics
- Ability to synthesize complex historical contexts using structured problem-solving approaches
- Proven capability to work independently and collaboratively in high-performance teams
- Clear communication skills for translating technical concepts to non-technical stakeholders
