Responsibilities
- Manage and oversee central data platforms used by the Shared Resources Team, including HubSpot CRM, Notion databases, deal-tracking systems, and talent pipelines.
- Guarantee data accuracy, consistency, and reliability across all systems tracking portfolio companies, contacts, deals, candidates, meeting summaries, and follow-up actions.
- Create and sustain dashboards, performance reports, market insights views, relationship diagrams, and key operational metrics.
- Generate recurring reports on partnership outcomes, deal activity, talent placements, and progress toward strategic goals.
- Develop and execute workflows for shared services operations such as deal intake, onboarding portfolio companies, sourcing talent, and managing events and visits.
- Assist in new initiatives like designing and monitoring AI agents and advancing process automation across departments.
- Facilitate coordination between the strategic partner and the Shared Services Team to ensure timely and efficient execution.
- Establish tracking systems and operational solutions for partnership activities, including company meetings, regional site visits, and key events.
- Monitor and manage action items, deliverables, and deadlines across various partnership workstreams.
- Serve as an expert user for core platforms including Notion, HubSpot CRM, Airtable, Google Workspace, and project management tools.
- Design and deploy simple automation tools to minimize manual tasks and improve data integration between systems.
- Assess and suggest new software tools or upgrades to increase efficiency in operations and partnerships.
- Support organization-wide efforts in data governance, process standardization, and adoption of operational best practices.
- Help build and maintain shared templates, databases, and operational guides for team use.
