Responsibilities
- Assess, rank, and handle requests for medical records both incoming and outgoing.
- Review and validate forms for correctness, clarity, and completeness; confirm valid and current Release of Information (ROI) documentation is present.
- Keep the medical records tracking system current and accurate.
- Perform regular quality reviews to ensure data accuracy, privacy, and compliance with HIPAA standards.
- Follow all HIPAA guidelines and confidentiality protocols.
- Communicate with patients and external parties to maintain a high standard of service experience.
- Collect and distribute patient documents such as Letters of Service, progress reports, and other required records.
- Prepare documentation requests for review and approval by a supervisor.
- Ensure client and partner satisfaction throughout all phases of medical records handling.
- Process and examine patient records for ROI, retrieval, and audit purposes.
- Respond quickly to external audit inquiries with properly formatted and compliant records.
- Coordinate with third-party entities including legal authorities, healthcare providers, lawyers, and other organizations.
- Obtain updated ROIs when existing authorizations have expired.
