Responsibilities
- Draft, review, and organize legal agreements, non-disclosure documents, and internal memos.
- Maintain and secure legal records and confidential case files.
- Collaborate with attorneys and legal team members on case updates and documentation needs.
- Manage calendars, set up meetings, and schedule appointments across different time zones.
- Track internal projects, facilitate team communication, and organize case-related data.
- Handle private and sensitive information with strict confidentiality.
- Oversee legal or executive email inboxes by responding to messages, following up on correspondence, and identifying urgent items.
- Communicate with clients via phone and email for appointment scheduling, status updates, and general questions.
- Support deadline tracking for court dates, filings, and project deliverables.
- Generate client invoices, monitor payments, and log expenses.
- Assist with payroll preparation and billable hour tracking.
- Collect and analyze data on industry trends and legal practices for executive reporting.
- Plan detailed travel itineraries, including flights, accommodations, and transportation for business or legal purposes.
- Ensure all travel arrangements meet client preferences and align with schedules.
- Update and manage information in CRM systems and case or project management tools.
- Contribute to marketing and business development by organizing and entering lead or client data.
- Upload documents and media to digital platforms, manage online profiles, and monitor digital reputation.
- Develop presentations and condense documents for executive summaries.
- Perform a range of administrative, operational, and legal support tasks as assigned.
