Responsibilities

  • Welcomes patients and guests with positivity and professionalism, both in person and by phone, while managing inquiries and check-in procedures efficiently.
  • Provides exceptional customer service by supporting patient satisfaction, optimizing clinician schedules, and ensuring effective use of treatment spaces through precise appointment coordination.
  • Oversees scheduling operations with an emphasis on increasing clinic capacity by maximizing clinician availability and room utilization.
  • Ensures timely patient flow by notifying providers of arrivals, tracking treatment progress, and communicating any delays promptly.
  • Processes incoming fax communications quickly to support timely documentation and inter-office coordination.
  • Enters patient data, treatment plans, and updates accurately into the Electronic Medical Record (EMR) system.
  • Produces accurate reports, logs, and lists, including financial summaries and patient retention metrics.
  • Tracks and reconciles patient co-payments and manages credit arrangements as needed.
  • Sets up new and returning patient records in Theraoffice, verifying personal and insurance details.
  • Contacts physicians to secure updated therapy prescriptions and Plans of Care, ensuring system records are current.
  • Supports patients during therapy sessions by applying heat packs, paraffin treatments, assisting with pool entry, and guiding exercise routines.
  • Instructs patients on correct use of therapy equipment and exercise techniques to promote safety and treatment effectiveness.
  • Prepares patients for therapy with comfort, support, and clear communication to ease anxiety.
  • Responds to patient questions and concerns with empathy and professionalism, ensuring a positive experience.
  • Safeguards patient privacy and adheres to HIPAA regulations and internal policies for data protection.
  • Maintains a clean, safe, and organized clinic environment by following established safety and operational protocols.
  • Performs routine cleaning tasks such as laundry, sanitizing treatment tables, and disposing of waste to maintain hygiene standards.
  • Readies therapy rooms by sterilizing, delivering, and positioning equipment according to protocol before patient arrival.
  • Handles incoming calls from patients, physicians, and hospitals with strong customer service skills.
  • Manages inventory of therapy supplies by tracking stock levels, placing timely orders, expediting deliveries, and confirming receipt.
  • Completes additional duties as assigned to support daily clinic operations and patient care needs.

  • Schedule: Monday through Friday, 8:00 AM to 4:30 PM.
  • Physical demands include frequent walking, standing, sitting, using hands to handle objects, reaching, climbing, balancing, stooping, kneeling, crouching, crawling, and speaking or hearing.
  • Regularly required to lift or move up to 40 pounds.
  • Required visual abilities include close vision, distance vision, and depth perception.
  • Must thrive in a fast-paced setting, capable of managing and prioritizing multiple tasks while knowing when to seek supervisory input.
