Responsibilities
- Welcomes patients and guests warmly, in person or by phone, with a positive demeanor and promptly handles inquiries and check-ins.
- Provides exceptional customer service by supporting patient satisfaction, efficient provider schedules, and optimal use of treatment rooms through accurate appointment coordination.
- Manages scheduling processes to enhance clinic growth by maximizing clinician availability and room utilization.
- Keeps patient flow on track by notifying providers of arrivals, monitoring session timing, and communicating delays quickly.
- Processes incoming faxes efficiently to maintain timely documentation and communication.
- Enters patient data, treatment plans, and updates accurately into the electronic medical record system.
- Produces precise reports, logs, and lists, including financial summaries and patient retention metrics.
- Tracks and reconciles patient co-pays and manages credit arrangements as needed.
- Sets up new and returning patient files in Theraoffice, verifying personal and insurance details.
- Contacts physicians to secure updated therapy prescriptions and Plans of Care, updating records accordingly.
- Supports patients during therapy with heat applications, paraffin treatments, pool access, equipment use, and exercise guidance.
- Instructs patients on correct use of equipment and exercise techniques to promote safety and treatment effectiveness.
- Prepares patients for therapy sessions with comfort, support, and clear communication.
- Responds to patient questions and concerns with empathy and professionalism, helping to reduce anxiety.
- Safeguards patient privacy and adheres to HIPAA regulations and clinic confidentiality policies.
- Maintains a clean, safe, and orderly environment by following all safety and operational procedures.
- Completes light cleaning tasks such as laundry, sanitizing treatment tables, and disposing of waste to support hygiene standards.
- Readies therapy rooms by sterilizing and placing equipment, ensuring therapist access, and assisting patients as needed before sessions.
- Handles incoming calls from patients, physicians, and hospitals with professionalism and strong service skills.
- Monitors inventory of therapy supplies, places timely orders, expedites deliveries, and verifies incoming stock.
- Completes additional tasks as assigned to support smooth clinic operations and patient care.

- Schedule: Monday to Thursday from 4PM to 8PM and Saturday from 8AM to 12PM.
