Responsibilities
- Deliver exceptional front desk and concierge support while fostering strong client relationships
- Communicate effectively with team members, supervisors, and clients regarding task progress and deadlines
- Promptly report operational issues to management for resolution
- Address client inquiries and resolve concerns in alignment with established protocols
- Generate and submit required reports on time
- Monitor and manage quality assurance procedures to support workflow efficiency and client satisfaction
- Greet visitors and clients in the lobby, serving as the primary contact for employee, guest, or client issues
- Ensure a smooth and personalized experience for all guests from arrival to departure
- Guide guests to reserved meeting rooms and notify hosts of their arrival
- Understand client expectations and deliver high-quality, professional service
- Respond to guest requests and accommodate their needs promptly
- Manage incoming calls, schedule reservations, relay messages, and handle mail distribution
- Develop in-depth knowledge of the building and surrounding area to provide informed recommendations
- Coordinate events, travel arrangements, and local excursions upon guest request
- Handle all internal and external calls with professionalism and courtesy
- Support event setups by assisting with food and beverage preparation
- Coordinate catering services from external vendors as needed
- Reserve meeting rooms using Condeco and MS Outlook, accurately noting AV, layout, and refreshment needs
- Monitor and respond to reception emails in a timely manner
- Arrange transportation for staff and visitors
- Oversee office and room reservations for visiting attorneys and manage visitor access passes
- Collaborate with internal teams to promote seamless communication and unified guest service
- Occasionally assist with client events that extend into evening hours
- Follow company and client-specific policies and procedures
