Responsibilities
- Manage the distribution, tracking, and reconciliation of employee cash advances.
- Ensure timely collection and resolution of overdue advance balances.
- Establish internal safeguards to prevent delays or misuse of company funds related to advances.
- Keep accurate and current records of all cash advances for audit readiness and reporting.
- Maintain regular communication with staff and supervisors about open advance balances.
- Oversee personal expense tracking for the ultimate beneficial owner, ensuring proper classification and reconciliation.
- Monitor payments made on behalf of the ultimate beneficial owner and log all related transactions.
- Generate recurring summaries of ultimate beneficial owner expenses, identifying patterns and outliers.
- Verify all expenditures adhere to company policies and applicable legal standards.
- Produce and maintain thorough reconciliation records for both employee advances and owner expenses.
- Deliver periodic updates to financial leadership and management on outstanding balances and spending activity.
- Assist in month-end and year-end closing by providing necessary reconciliations and financial analysis.
- Develop and enforce internal controls over advances, expenses, and reconciliations to reduce financial risk.
- Perform routine audits to confirm adherence to internal procedures and financial best practices.
- Support financial leadership in tracking budgets tied to advances and personal expenditures.
- Evaluate spending data and suggest practical measures for cost efficiency.
- Detect unusual or non-compliant expense items and escalate appropriately.
- Coordinate with accounting, treasury, and administrative units to maintain financial compliance and smooth operations.
- Partner with senior leaders to align financial processes for the ultimate beneficial owner with organizational objectives.
- Assist financial leadership with special financial reviews or initiatives as needed.
