About the Role

The Executive Support Specialist will play a crucial role in ensuring the smooth operation of the executive team's daily activities. This position involves managing complex schedules, coordinating high-level meetings, and handling sensitive information with discretion.

Responsibilities

  • Manage and maintain executive calendars, scheduling appointments, and coordinating meetings.
  • Prepare and edit documents, presentations, and reports for executive review.
  • Coordinate domestic and international travel arrangements for executives.
  • Screen and direct incoming calls and emails, ensuring timely and appropriate responses.
  • Prepare expense reports and manage reimbursement processes.
  • Organize and maintain filing systems, both physical and digital.
  • Assist in the planning and execution of company events and conferences.
  • Liaise with internal and external stakeholders to facilitate communication and information flow.
  • Manage office supplies and equipment, ensuring adequate stock and functionality.
  • Provide backup support to other administrative staff as needed.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Prepare and distribute meeting agendas and minutes.
  • Coordinate with IT department for technical support and troubleshooting.
  • Assist in the preparation of board meeting materials.
  • Manage and update executive contact lists and directories.
  • Coordinate with human resources for onboarding and offboarding processes.
  • Assist in the preparation of executive reports and analyses.
  • Manage and distribute executive correspondence.
  • Coordinate with vendors and service providers for office-related services.
  • Assist in the preparation of executive presentations and speeches.
  • Manage and maintain executive expense accounts.
  • Coordinate with legal department for contract reviews and approvals.
  • Assist in the preparation of executive travel itineraries and arrangements.
