As a Documentation Specialist, you’ll play a key part in ensuring death certificates are processed correctly and on time by gathering essential medical information and signatures from physicians and healthcare facilities.
What You’ll Do
- Reach out to medical providers via phone to collect cause-of-death details and required approvals, maintaining professionalism and persistence throughout.
- Review and validate documentation to meet state-specific requirements, ensuring every record is complete and compliant.
- Track multiple cases at once, identifying potential delays and working closely with internal teams to keep processes moving.
- Communicate clearly and compassionately with families, helping them understand necessary steps during a difficult time.
- Use tools like HubSpot, Aircall, Slack, and our internal case management system to stay organized and aligned across workflows.
What We’re Looking For
- At least two years of experience in administrative, medical, or deathcare-related roles involving follow-up and recordkeeping.
- Fluency in written and spoken English.
- Proven ability to manage recurring tasks, meet deadlines, and maintain accurate records under pressure.
- Strong interpersonal skills with a patient, solution-focused approach when dealing with busy offices or grieving families.
- Quick learner of digital tools including Notion, Slack, and Aircall, with comfort navigating multiple platforms daily.
