Responsibilities
- Deliver exceptional front desk and concierge support while fostering strong client relationships
- Communicate effectively with team members, supervisors, and clients regarding task progress or deadlines
- Promptly report operational issues to management for resolution
- Address client inquiries and resolve concerns in line with established guidelines
- Generate and submit required reports on time
- Monitor and manage quality assurance processes to ensure efficiency and client satisfaction
- Greet clients and visitors in the lobby, serving as the primary contact for escalations
- Create a smooth and personalized experience for all guests
- Guide guests to reserved meeting rooms and notify hosts of arrivals
- Assess client needs and deliver high-quality, professional service
- Respond to guest requests and accommodate special requirements
- Manage phone calls, schedule reservations, relay messages, and distribute mail
- Develop in-depth knowledge of the building and surrounding area to offer informed recommendations
- Coordinate events, trips, and transportation as requested by guests
- Handle all incoming and outgoing calls professionally
- Support event setup by assisting with food and beverage arrangements
- Coordinate catering services from external vendors as needed
- Reserve meeting rooms accurately using Condeco and MS Outlook, noting AV, layout, and refreshment needs
- Monitor and respond to reception emails promptly
- Arrange transportation for staff and guests
- Oversee office space and room bookings for visiting attorneys and manage visitor access
- Collaborate with internal teams to ensure seamless service and a unified team environment
- Occasionally assist with client events that extend into evening hours
- Follow company and client-specific policies and procedures

- Monday - Friday, 7:00am to 4:00pm
- Occasional evening coverage required for client functions
