About the Role

The role provides operational and administrative support to the HIV business unit, enabling strategic planning, project coordination, and internal alignment across departments.

Responsibilities

  • Coordinate logistics for team meetings, including scheduling, agendas, and follow-up actions
  • Support project management by tracking timelines and deliverables
  • Prepare presentations and documents for internal and external stakeholders
  • Facilitate communication between departments to ensure alignment
  • Manage calendars and prioritize appointments for team leaders
  • Organize travel arrangements and process expense reports
  • Maintain up-to-date records and shared filing systems
  • Assist in onboarding new team members
  • Monitor and distribute key business metrics and reports
  • Coordinate internal approval processes for initiatives
  • Track action items from leadership meetings
  • Liaise with external vendors on administrative matters
  • Support budget tracking and financial documentation
  • Ensure compliance with internal policies and procedures
  • Handle confidential information with discretion
  • Assist in preparing materials for regulatory or audit reviews
  • Streamline internal workflows to improve efficiency
  • Act as a point of contact for cross-functional teams
  • Support event planning for team gatherings or conferences
  • Maintain team dashboards and performance trackers
  • Coordinate document version control and approvals
  • Provide backup support during team absences
  • Respond to internal inquiries in a timely manner
  • Contribute to process improvement initiatives
  • Ensure adherence to corporate governance standards
