Job Role: Financial Accounts and Administrative Support Specialist

Work Schedule: This role is expected to synchronize with AU business hours (approximately 9 AM - 5 PM, Monday to Friday) for collaboration, while offering contractor-style time management flexibility.

Role Overview: We are recruiting a meticulous Financial Accounts & Administrative Support Specialist - preferably with background in Australian legal billing - to manage receivables, monthly billing processes, and critical administrative tasks for a Victorian legal practice. This virtual role suits proactive, structured professionals comfortable collaborating with legal team members to ensure precise billing activities.
Key Responsibilities:
- Maintain billing documentation for active legal matters ensuring comprehensive updates
- Generate invoices via Smokeball or prepare draft invoices for solicitor evaluation
- Apply appropriate Victorian, Federal, and Family Law Court financial scales when applicable
- Oversee cost disclosure protocols during new matter initiation and threshold milestones
- Support trust account transaction entries under professional supervision
- Process, categorize, and reconcile email communications to corresponding matters
- Validate billing accuracy through legal team coordination and matter completion confirmation
- Facilitate consistent monthly billing cycles across client portfolios
- Provide supplementary administrative support
- Potentially manage additional bookkeeping responsibilities
Requirements:
Required Skills and Qualifications:
- Minimum 2 years experience in Financial Accounts and Administrative Support
- Exceptional precision and detail-orientation
- Advanced Microsoft Outlook proficiency for comprehensive email management
- Capability to operate autonomously, meet deadlines, and collaborate with remote teams
Preferred (but not mandatory):
- Familiarity with Australian legal billing methodologies
- Experience using Smokeball or comparable legal management platforms
- Understanding of legal financial scales in Victoria and Federal jurisdictions
- Foundational bookkeeping knowledge
