Horizon Recovery was looking for a Bilingual Executive Assistant

Horizon Recovery is hiring a Bilingual Executive Assistant fluent in English and Spanish. This role is central to ensuring smooth day-to-day administrative and customer service operations, providing direct support to the owner, sales, and production teams.

What You'll Do

  • Answer phone calls, emails, and online inquiries in a friendly, professional manner.
  • Gather initial project information, qualify leads, and schedule estimates.
  • Communicate preparation instructions and next steps to customers.
  • Follow up on estimates, proposals, and pending approvals.
  • Manage calendars for the owner, sales representatives, and production scheduling.
  • Maintain and update the CRM with new leads, job details, client information, and notes.
  • Assist with invoicing, purchase orders, and vendor communication.
  • Prepare contracts, touch-up forms, and completion certificates as needed.
  • Coordinate logistics between estimators, crew leaders, and customers.
  • Monitor material orders and confirm colors and specifications.
  • Manage review requests, social media messages, and reputation platforms.
  • Compile reports on leads, win rates, job progress, and client feedback.
  • Assist with job costing.

What We're Looking For

  • 3+ years experience as a Virtual Assistant, customer service representative, project coordinator, or office manager.
  • Excellent written and verbal communication skills in English and Spanish.
  • Strong organizational skills with high attention to detail.
  • Tech-savvy with experience in CRM systems (e.g., Jobber, DripJobs, Buildertrend), Google Workspace, and MS Office.
  • Ability to juggle multiple tasks, prioritize effectively, and work independently.
  • Professional demeanor, calm under pressure, and solution-oriented.

Nice to Have

  • Experience in the construction or home services industry.

Benefits & Compensation

  • Compensation: $7-$8 an hour.
