Oregon Department of Human Services is hiring an Administrative Specialist 1 (Two positions available)

Responsibilities

  • Oversee and support programs that keep Oregon schools safe and compliant
  • Process criminal history checks for applicants and volunteers, manage records, and guide school districts on program requirements
  • Assist with Activity Driver and Athlete Agent applications, coordinate school site reviews, and support training workshops
  • Perform LEDS background checks and review school bus, activity driver, and athlete agent applications to determine eligibility
  • Process applications, issue permits and certificates, and communicate results to stakeholders
  • Manage the unit’s shared inbox, respond to inquiries, maintain digital filing systems, and generate reports
  • Support administrative tasks, edit correspondence, organize records, and serve as a backup for application processing and training reports
  • Model equity, inclusivity, and professionalism, creating a welcoming environment for colleagues, stakeholders, and the public

Requirements

  • Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data
  • An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data
  • An equivalent combination of education and experience
  • Successful completion of the CJIS and LEDS certification within 90 days from the date of hire

Nice to Have

  • Experience with Microsoft Outlook email systems and Adobe PDF markup & editing
  • Experience with Windows file management & organization
  • Flexibility and communication skills for working with a team remotely using teleconference, phone, email, and in-person methods
  • Excellent customer service skills, spoken and written
  • Successfully acquires and applies new skills or technologies within established timelines
  • Experience in evaluating and processing ODE forms
  • Knowledge of applicable OARs for pupil transportation & fingerprinting
