Responsibilities
- Provide administrative assistance including phone coverage, customer service, document editing and transcription, data input for expenses, time, and invoices, and coordination of meetings, travel, and related services.
- Manage sensitive company data such as corporate credit card details, P-cards, employee and client contact lists, and personnel records with strict confidentiality.
- Use tracking systems or logs to document all administrative tasks and support activities.
- Verify that work orders are fully completed before initiating any assignments.
- Evaluate job requests thoroughly and ensure accurate execution throughout each phase of the task.
- Communicate with team members, supervisors, or clients regarding task progress, issues, or deadlines.
- Deliver all assignments on time in accordance with agreed-upon schedules.
- Resolve basic technical issues with office equipment as they arise.
- Engage with clients through phone, video conferencing, or digital platforms.
- Organize and prioritize tasks to maintain workflow efficiency.
- Conduct quality assurance checks on personal work and review the output of colleagues.
- Respond to phone calls, emails, and submit service requests as necessary.
- Follow all company and client-specific policies and procedures.
- Operate office equipment and manage supplies in a way that minimizes waste and controls costs.
