About the Role
This role provides essential administrative support to ensure smooth office operations, assisting teams with scheduling, recordkeeping, and information flow while maintaining accuracy and confidentiality.
Responsibilities
- Manage calendars and coordinate appointments for team members
- Handle incoming and outgoing communications including phone calls and emails
- Organize and maintain physical and digital filing systems
- Prepare documents, reports, and presentations using word processing software
- Assist with data entry and ensure database accuracy
- Support meeting logistics including room setup and material preparation
- Process mail, both physical and electronic, in a timely manner
- Track and monitor office supply inventory
- Order supplies and manage vendor relationships as needed
- Maintain confidentiality when handling sensitive information
- Assist with onboarding new team members
- Coordinate travel arrangements when required
- Follow established procedures for document retention and archiving
- Serve as a point of contact for internal and external inquiries
- Support special projects with administrative tasks
- Ensure compliance with internal policies during routine operations
- Proofread and edit written materials for clarity and correctness
- Transcribe audio recordings or meeting notes as needed
- Facilitate internal communication across departments
- Respond to routine requests with attention to detail
- Monitor deadlines and follow up on pending actions
- Assist in preparing reports for management review
- Maintain up-to-date contact lists and directories
- Support event planning and coordination efforts
- Adapt to shifting priorities in a dynamic work environment
