Truelogic Software is hiring an Accounts Payable (AP)Sr. Coordinator - Marketing and Advertising (Remote - Panama)

About the Role

The Senior Accounts Payable Coordinator will oversee invoice processing, vendor communications, and payment reconciliations for marketing and advertising departments, ensuring compliance and financial accuracy.

Responsibilities

  • Manage end-to-end processing of invoices related to marketing and advertising vendors
  • Verify invoice accuracy against contracts, purchase orders, and service delivery records
  • Coordinate with internal marketing teams to resolve billing discrepancies
  • Ensure timely execution of payment cycles according to vendor terms
  • Maintain up-to-date vendor records and contact information
  • Reconcile vendor statements on a regular basis
  • Support month-end and quarter-end closing activities
  • Identify and report process inefficiencies in accounts payable workflows
  • Collaborate with external auditors during financial reviews
  • Ensure compliance with internal financial controls and policies
  • Track and categorize marketing-related expenses by campaign or project
  • Assist in budget vs. actual reporting for advertising spend
  • Prepare and distribute payment reports to department stakeholders
  • Escalate unresolved vendor issues to management when necessary
  • Maintain confidentiality of financial data
  • Stay current with changes in vendor contracts and billing terms
  • Support internal process improvement initiatives
  • Utilize accounting software and ERP systems for transaction entry
  • Assist in tax documentation collection for vendors as required
  • Work across time zones to coordinate with global marketing teams
